Xero is a powerful accounting platform on its own. But one of its greatest strengths is its ecosystem of integrations, or Xero Add-ons as they are called. These extend the platform’s core functionality in specific directions without requiring you to switch systems or manage separate data sets.

For South African SMEs, the most valuable Xero add-ons fall into a handful of categories: cash flow forecasting, management reporting, payroll, expense management and CRM integration.

In this post I suggest five Xero Add-ons that I consistently recommend at BCAS and even use in my own business, with a plain-language explanation of what each one does, who it suits best and what our experience with it has been.

A note on pricing: subscription costs for these tools change over time. Always check current pricing on each provider’s website or in the Xero App Store before committing. Most offer a free trial of 7, 14, or up to 30 days, which I strongly recommend using before you sign up.

The five Xero Add-ons

1. Float – cash flow forecasting
What it does:  Float connects directly to your Xero data and builds a rolling cash flow forecast automatically. It pulls your live invoices, bills and bank balance from Xero and projects them forward. When a client pays an invoice in Xero, Float updates your forecast without any manual input. When you capture a new supplier bill, it flows into the forward view immediately.
Best for:  Businesses with complex or irregular cash flow patterns, multiple bank accounts or a need for scenario planning. Also ideal for businesses that know they should maintain a 13-week cash flow forecast but find the manual spreadsheet approach too time-consuming to keep current.
BCAS note:  We suggest Float for clients who have outgrown the manual forecast approach and want their cash position updated in real time. It pays for itself quickly in the management time it saves.
Price: Subscription is extra and can become costly
2. Syft Analytics
What it does:  Syft analytics turns your Xero data into professional management reports, KPI dashboards and consolidated financial views across multiple entities. It includes many tools and features that put your Xero program use on a different level. Easy to use and completely integrated, it will change your business management life.
Best for:  Businesses that want financial performance in one click
BCAS note:  Syft analytics is a standard feature on most Xero packages.
3. Simplepay – South African payroll
What it does:  Simplepay is a South African payroll platform built specifically for local legislation, covering PAYE calculations against current SARS tax tables, UIF and SDL deductions, the Employment Tax Incentive (ETI) where applicable, leave management and IRP5 generation. The Xero integration can post the payroll journal directly to your books after each pay run, keeping your accounts current without manual entries. EMP201 and EMP501 submissions are prepared from the same data.
Best for:  Any South African business with employees. Processing payroll manually in a spreadsheet or through a generic international system not updated for SA legislation is a compliance risk that grows with each tax year. From a single employee upwards, a dedicated SA payroll platform is the correct approach.
BCAS note:  Simplepay is the payroll used at BCAS and based on that, is our standard payroll recommendation for businesses with one to 30 employees. It is cost-effective, reliably updated for South African legislative changes, and its Xero integration is clean and well-maintained.
4. Dext – expense and receipt management
What it does:  Xero has an in app feature to let users to photograph receipts with a mobile phone. The platform extracts the transaction data automatically pushes the expense directly into Xero for coding and approval. It eliminates the shoebox of receipts problem, reduces manual data entry and ensures expenses are captured at the time they are incurred rather than weeks after the fact.
Best for:  Businesses with staff who travel, attend client meetings or regularly incur out-of-pocket expenses on behalf of the company. Also valuable for business owners who want to capture their own expenses immediately rather than accumulating receipts in their wallets or cars which are faded by the time the expense is recorded
BCAS note:  The time saved on expense processing and the improvement in the accuracy and timeliness of expense data both have real financial value.
PS: there are other “add-ons” that do this but they cost extra and are more likely to cause issues than in an in app feature.
5. Sales pipeline integration eg: HubSpot CRM
What it does:  CRM software like HubSpot offer integrations with Xero, connecting your sales pipeline to your financial system. When a deal closes in HubSpot, the invoice can be created in Xero automatically. Revenue forecasts from your pipeline inform your cash flow planning. Client information is consistent across both systems without duplicate data entry.
Best for:  Service businesses with a structured sales process, a meaningful pipeline of prospective clients and a need to connect commercial activity to financial projections. Less relevant for businesses whose revenue is primarily from ongoing retainers with existing clients where the pipeline is thin.
BCAS note: The use of this feature must be explored ahead of time. The costs and the expectation of the integration is often overlooked and costly. “Free” may not work adequately. Financial control needs to be tight in order to keep the invoicing in line with company policy and procedure.

Choosing the right add-ons for your business

The Xero App Store lists over 1 000 integrations. The five above are the ones we most consistently recommend for South African SMEs at the growth stage where the return on the additional subscription cost is clear. More tools do not automatically mean better management. The right tools, correctly configured and actually used, are what produce better outcomes.

Every Xero add-on you add is a subscription and a system that needs to be maintained. Only use a Xero Add-on when it solves a real, current problem. Do not add tools because they seem useful in principle or because the sales person says it is amazing. Solve the friction that is costing you time or money right now.
